What is Academic Output?

For the purposes of inclusion in the UMass Dartmouth Institutional Repository, academic outputs are defined as materials such as monographs, scholarly and peer-reviewed journal articles (preprints or manuscripts), theses and dissertations, conference proceedings, research digital assets (i.e. learning objects), creative outputs (i.e. artworks, audio-visual productions) that are authored, co-authored, or created by individuals who are part of the UMass Dartmouth academic community, and publications in popular media that contribute to knowledge in a particular field by sharing new research findings, theories, analyses, insights, news, or summaries of current knowledge.

Initial Population

When you first work with the library to create your profile, we will ask you to provide a CV or separate list of your academic output. Librarians will then add these assets to the repository and your profile through a combination of automated population (made possible by matching a title, DOI, or PMID to an existing item in the Ex Libris Central Discovery Index) and manual data entry. 

Your profile will go live in the repository with the automatically matched assets, while the manual entry will be done gradually as this takes more time per asset. We may reach out to you with questions if any issues arise during this process.

We ask that faculty review assets added by the library for accuracy and let us know of any changes that need to made. See the Editing Existing Output section for more details.

Adding Output Yourself

The "Project" and "Activities" options will be addressed on the Adding Projects and Activities page. 

Check out the "Add Research Output to Your Profile in Esploro" video for a detailed walk-through of the output submission process. The following sections provide the highlights.

For each asset, you will first select the type that best describes the output, such as journal article, book, conference proceeding, and more. You will then enter the title, DOI, or other relevant identifier, and Esploro will attempt to find your asset and automatically load the metadata. On the "Describe It" and "Specify" pages, you will have the opportunity to add and edit details about your asset. The specific fields available on these pages will vary based on the asset type selected in the first step.

You can also add files or links to your asset. For more information on uploading files, see the Uploading Files section.

Please note: when adding creators under "related people," your name and affiliation will automatically be populated as it appears on your profile. You have the ability to edit your affiliation(s), but not your name. If your name should appear differently on this asset, please submit the asset and send us a message with the correction according to the Edit Existing Output section.

On the "Relations" page, you can add grants that are related to the output. For more information on adding grants to the repository, see the Adding Grants and Media Mentions page. 

Outputs can also be related to other outputs in the repository, such as a data set that supports a publication, or an article and its preprint. Additional relations can only be added once the output has been submitted; see the Editing Existing Output section for more information.

The last step is to review your submission and agree to the repository Terms and conditions, which includes the Non-Exclusive Distribution Agreement that pertains specifically to uploaded files. See the Uploading Files section for more information on this agreement.

Asset Review

When you submit an output for inclusion in the repository, it will not immediately be visible to the public. Your submission will appear in the "Output" section of your profile under "In progress" with a notice that "Visibility controlled by administrator: not visible in portal nor profiles." A librarian need to review your submission and either accept it, at which point it will be visible in the portal and your profile, or return it for changes. Status updates and communications from the library will be visible in your profile. Additional information about editing and messaging the library about outputs is provided in the Editing Existing Output section. 

Editing Existing Output

Your ability to edit existing or submitted assets in your profile is limited. When viewing your list of assets, you can select the three dots on the right to view your options.

Hide this work

You can hide a work if you do not want it to appear in the list of outputs on your profile. However, the work will not be deleted from the repository and will still be visible and searchable in the portal. If you need an asset completely removed from the repository, contact the library

Add files and links

You are able to upload relevant files or add links to your work at any time. These files must be approved before they will be visible to the public. See the Uploading Files section for more information about this process. 

Messages

This is where you can to contact the library team directly about a particular asset. If there are any changes that need to be made to the record or you have any other questions or concerns regarding a specific output, you can use the messages option to send us a note. This is also where you will receive messages from the library regarding your deposit if you submitted an asset yourself. 

Uploading Files

Researchers have the option to upload files either when manually adding output to the repository or later after the asset has been created. Either way, by uploading a file, you attest that you have the right to distribute that asset and agree to the UMassD non-exclusive distribution agreement. 

When creating an asset, you must agree to the repository terms and conditions, which includes the non-exclusive distribution agreement. You can view the text of the agreement by clicking on "Terms and conditions." The agreement text is also available below.

When uploading a file to an asset that has already been created and added to your profile, there is no option to agree to the repository terms and conditions. However, it is still the case that by uploading a file, you are agreeing to the non-exclusive distribution agreement.

Non-exclusive distribution agreement 

I am submitting this work for inclusion in the University of Massachusetts Dartmouth’s online institutional repository. In doing so, I hereby grant UMass Dartmouth an irrevocable, non-exclusive license to reproduce, display, and distribute my submitted work (including the abstract) in electronic format, as well as the right to convert, migrate, or reformat this work, without alteration of the content, to any medium or format for the purpose of preservation and/or continued distribution.

I represent that I hold the copyright to this work or have been authorized by the copyright holder to upload this work for distribution to an institutional repository and that I have fulfilled any right of review or other obligation required by any agreement with an agency or organization that has sponsored or supported my research. 

The Claire T. Carney and UMass Law libraries will take all reasonable steps to ensure that the author’s name remains clearly associated with the submission and that no alterations of the content are made. 

Smart Harvesting

One of the benefits of the Esploro instutional repository system is a feature called "Smart Harvesting." This feature uses machine learning to pull scholarly works from the Ex Libris Central Discovery Index — a large database of records from scholarly and academic sources worldwide — that it believes were authored by one or more of our researchers. This will allow us to keep the repository up-to-date with your recent publications automatically.

All records that are retrieved using Smart Harvesting will be reviewed by a librarian for accuracy before being added to your profile. If we are unsure whether or not a particular work is really yours, we may reach out for verification. If you would like to opt out of Smart Harvesting for any reason, you may contact the library repository team, but this will make you responsible for adding your recent publications to your profile since we will not be able to retrieve them automatically.
